CIRCULAR NO. 02/2009

It has been noticed with concern that the draft letters/noting on the files submitted to the Collector are processed in a very casual manner and do not have necessary information on note sheet side due to which the higher authorities are compelled to make quarries again and again or to himself scrutinize the file which results in delay of the matter and loss of time.

          Hence forth it is ordered that in future;

• All the files should be dealt with in a proper manner as per the procedure laid down in the “Secretariat Instructions”
• The note sheet side of the file should contain all the information with reference to the letter/issue under consideration. NO file should be submitted to higher authorities without page numbering/proper flagging.
• Note sheet side of each file should be signed by name and stamp by the officer/official who generated the note.
• All type of statements should be signed and stamped in name by two persons as per given format.
